Job Description

Administrative Assistant (Part-Time)

We have a fantastic opportunity for an experienced Administrative Assistant for part time work based in Edinburgh city centre.

The position requires someone to work 21.5 hours per week ideally Mon - Friday.

Duties will include but are not limited to -

  • Undertaking duties in relation to finance, business and IT
  • Financial duties will include - inputting invoices, petty cash, assisting with payroll processing.
  • Facilities duties will include - stock monitoring and ordering, arranging office repairs, reviewing office services
  • IT Duties will include - Liaise between IT support company and staff, fixing minor issues, uploading information to website, maintain contact database.
  • Arrange meetings and events
  • Provide cover for the general business support requirements of ASH Scotland and assist other staff as required
  • Handle correspondence and communications appropriately

Essential skills -

  • Qualified to at least O grade or Nat 4; or equivalent experience
  • Proficiency in using IT packages - Outlook, Word, Excel and PowerPoint
  • Excellent keyboard skills
  • Commitment to and understanding of confidentiality when handling sensitive material
  • Experience of working without supervision on agreed tasks
  • Proven ability to handle correspondence and communications appropriately, and provide a reception service
  • Excellent interpersonal and written communication skills
  • High level of self-motivation and enthusiasm, with a pro-active approach to work
  • Good self-organisation skills and ability to produce high quality outputs, with attention to detail
  • Ability to take instruction, prioritise work and ensure completion of task, and that deadlines are not missed
  • Ability to work and contribute effectively as part of a team

Desirable skills -

  • Experience of working with Sage or other accounting software
  • Proven experience of working with database packages
  • Experience of uploading data to website
  • Experience of event administration
  • Confidence investigating minor IT issues
