Job Description

Administrator - Coventry - 3 Month Contract

£100.00 per day Inside IR35


As an Administrator you will provide full administrative support including development and maintenance of office systems such as filing and data management.

As an Administrator you will be responsible for;

  • Secretarial to meetings, maintaining a forward plan of agenda items, drafting agendas, commissioning papers and circulating in good time, attending the meeting, drafting accurate minutes and actions, tracking progress against actions
  • Organising meetings / telephone and video conferences meetings as requested, reviewing and accepting meeting invitations and monitoring inboxes for diary-related emails
  • Making travel and accommodation bookings which adhere to departmental policies, taking account of value for money. Ensure relevant approvals are in place for travel and accommodation before the booking is made
  • Providing annual leave cover to personal assistants (PAs) for managing director's diaries on a day-to-day basis
  • Providing high quality customer service, ensuring that all information for customers is accurate, timely, clear and easy to understand and that all dealings with customers are professional positive and respectful
  • Supporting the set up and maintenance of an effective filing and archiving system on workplaces / SharePoint, conducting information searches when commissioned and responding to enquiries and requests
  • Supporting the improvement of internal procedures and systems, identifying opportunities for innovation and continuous improvement
  • Managing and organising workload to ensure that results are to time and quality, and both internal and external customer's expectations are met.

Skills and Attributes

  • Experience of general administration, including diary management and management of meetings
  • Good experience of Microsoft Office, including Word, Excel, PowerPoint (essential), Project (preferred but not essential)
  • Work within clearly defined rules, guidelines, regulations and policies. Undertake routine tasks within limited flexibility
  • Solve problems on well-defined tasks
  • Interpret information and process it according to standard guidelines and procedures
  • Be an effective communicator both orally and in writing
  • Provide advice and guidance to others.
